A Polish work permit does not allow anyone to enter Poland. It allows the employer to employ a named person. The worker still needs a national (type D) visa, applied for at a Polish mission in India, and that application has its own requirements and its own failure modes.
Where to Apply
Applications are made at the Polish diplomatic missions in India according to the applicant's jurisdiction — not by preference. Appointments are booked through the official system; anyone selling appointment slots is running a scam and using one can damage the application.
What the File Contains
- The original work permit issued by the voivodeship office
- A completed national visa application form
- A passport valid well beyond the intended stay, with blank pages
- Recent photographs to the required specification
- Travel medical insurance covering the initial period
- Proof of accommodation in Poland
- Proof of means of subsistence
- Visa fee
The accommodation proof is the one employers most often leave until last, and it is the one that stalls files. Confirm housing before the permit is even issued.
Timeline
Two to four weeks for a complete file is normal, with appointment availability as the variable. Add that to the four to eight weeks for the permit itself and you reach the one-to-three month overall window that Polish recruitment realistically runs on.
After the Visa: Indian Emigration Clearance
Indian nationals holding ECR passports need emigration clearance through the eMigrate system before departure. It is granted only for placements arranged through an agency licensed by India's Ministry of External Affairs, and it is processed in days once the visa is stamped. Non-ECR passport holders do not require it.
This is not optional and not a formality to work around: clearance is what links the worker to a documented, lawful placement, and it is the basis on which Indian consular protection operates if anything goes wrong.
Common Refusal Reasons
- Inconsistency between the permit and the visa application — a different job title, employer name or salary
- Accommodation evidence missing or unconvincing
- Insurance that does not meet the required cover
- Passport validity too short
- Documents submitted in instalments rather than as a complete file
Every one of these is avoidable with preparation, which is the main argument for assembling the file properly rather than handing a checklist to the candidate.
After Arrival in Poland
The D visa is an entry document, not a residence status for the long term. Within the first weeks the worker completes local formalities — PESEL number, ZUS registration through the employer, a bank account — and, where the stay justifies it, applies for a temporary residence card. Our first weeks in Poland guide covers the sequence.
For the employer-side process see the type-A permit walkthrough. Candidates can register their profile to be considered for Polish vacancies.
Frequently Asked Questions
Do Indian workers need emigration clearance for Poland?
Only ECR passport holders. Clearance is granted through India’s eMigrate system for placements arranged by an MEA-licensed recruiting agent, and processes within days of visa stamping.
How long does a Polish D visa take from India?
Two to four weeks for a complete file after the appointment. Appointment availability is the main variable; the work permit must be issued first.
