Hiring Indian Workers for Saudi Arabia: The 1–25 Day Timeline Week by Week

"How fast?" is the first question from every Saudi client and the honest answer is "one to twenty-five days from a ready visa and attested documents" — a range, because the fastest case and the typical case differ in predictable ways. This is the week-by-week schedule we plan against, with the Saudi and Indian sides shown in parallel.

Before Day 1: Readiness Checklist

  • Visa authorisation issued through MOFA in the agency's name
  • Demand letter, power of attorney and model contract attested by the Saudi Chamber, Saudi MOFA and the Embassy of India
  • Profession codes confirmed and SVP status checked for each
  • Wages at or above Embassy minimum referral wages
  • Arrival logistics (accommodation, transport, iqama issuance) confirmed

The 1–25 day clock starts when this checklist is complete. Most delays blamed on "recruitment" are actually delays in this list.

Days 1–5: Selection

Candidates from our pre-screened database are shortlisted and trade-tested; the employer interviews by video and confirms selections. For SVP-listed professions we present already-certified candidates. Passports and documents are collected.

Days 3–9: Medical

Wafid medicals are booked immediately on selection and completed within three to seven days; preliminary in-house screening keeps the unfit rate low.

Days 6–16: Visa Stamping

Passports go to the Saudi mission through Enjaz with medical reports, contracts and photographs. Stamping returns in three to ten working days depending on the mission's load.

Days 10–20: Emigration Clearance and Ticketing

eMigrate clearance for ECR workers follows stamping within one to three days; tickets are issued in batches matched to the employer's arrival capacity.

Days 12–25: Travel and Arrival

Workers fly in batches. The employer collects them, issues the work permit on Qiwa and iqama through Absher, authenticates contracts and starts induction.

The Fastest Case

A pre-certified, pre-screened candidate for a non-listed profession, with a visa and attested documents ready, can be selected, medically cleared, stamped, cleared and flown within a week — the "1 day" end of our range applies to replacement workers drawn from a standing pool.

What Pushes Past 25 Days

  • Attestation incomplete at the start
  • SVP-listed profession with no certified candidates in the pool
  • Large volumes (100+) needing staggered medicals and stamping
  • Medical failures requiring replacements
  • Peak-season consular backlogs

The Indian Side Runs in Parallel

Everything from selection onwards happens in India while the employer prepares arrival logistics in the Kingdom. The two tracks meet at stamping: the Saudi side must have the visa block issued and the employer's iqama and housing capacity ready; the Indian side must have medicals valid and passports in hand. When one side is ahead of the other, the clock stalls — usually because arrival capacity, not recruitment, is the constraint.

Replacement Workers

Because every deployment includes a small number of medical failures, last-minute withdrawals or no-shows, we select a reserve list of ten to fifteen percent at the shortlisting stage. Replacements drawn from the reserve move through medical and stamping within the same window, so the crew arrives complete rather than short.

Communicating Timelines to Site Management

Give site managers the typical case, not the fastest case. A crew promised in seven days and delivered in eighteen damages trust even though eighteen is within range; a crew promised in three weeks and delivered in eighteen days builds it.

Planning a Crew
